Event Management

Event Management

Live, virtual, hybrid, multi-day, or a link to somewhere else entirely.

Create and run every event type your platform needs from inside WordPress, with no external tools, no brittle integrations, and no fragmented workflow between six systems.

The event lifecycle

Schedule

It gets created and found

>

Register

People commit to coming

>

Attend

They show up, or they do not

>

Reward

It feeds the rest of the platform

Event plugins were built to sell tickets to strangers

That is a genuinely different problem from the one a membership platform has. You are not converting a cold audience, you are running a recurring rhythm for people who already pay you. That means events scoped to a cohort, created by a coach rather than an admin, repeating weekly, gated by membership level, and feeding progress back into the platform when they finish. A ticketing tool does none of that, which is why most membership platforms end up with a calendar plugin bolted to a spreadsheet.

What you can run

Everything available to you.

Six event types, all native, all connected to the rest of the platform.

Roles

Who can create

Worked example

A weekly cohort call, set up once

It then runs itself for twelve weeks, including the parts nobody wants to do manually.

Event: Cohort 12 weekly call

Recurring, 12 weeks

Schedule

Coach creates it from the front end

No WordPress admin access issued, no ticket raised with you.

Schedule

Visible only to Cohort 12

A CRM tag decides. Nobody else sees it on their calendar at all.

Register

RSVP opens, reminders schedule themselves

Confirmation on signup, reminder 24 hours out, reminder one hour out.

Attend

Zoom syncs attendance back automatically

Including how long each person stayed, with no CSV reconciliation.

Reward

Attendance awards points and extends streaks

And the replay is posted for anyone in the wrong timezone.

Recipes

Three you could build this afternoon.

Read them as when, only if, then. That is the whole grammar of the system.

Let coaches run their own rhythm

When

A coach needs a recurring session

Only if

They have the Faculty or Coach role

Then

Give them front-end event creation scoped to their own cohort, so you stop being the scheduling bottleneck

Scope visibility rather than filtering it

When

Any event is created

Only if

It belongs to a specific tier or cohort

Then

Set CRM visibility rules so it never appears for anyone else, instead of showing it and blocking entry

Make the recurring one worth attending

When

A weekly call is created

Only if

It is part of a program

Then

Attach points, a streak, and a checklist item, so turning up compounds rather than just happening

Before you build

Three things worth knowing.

Note

Decide who can create events before you launch. Retrofitting permissions after coaches have been scheduling is unpleasant.

Note

Recurring events need a reason to attend each week. A calendar entry is not a reason.

Note

Multi-day events should track each day. One attended flag on a three day retreat tells you almost nothing.
