Attendance Tracking

Attendance Tracking

Not whether they came. How much of it they actually watched.

Attendance is recorded with duration and completion percentage, so a member who stayed four minutes and one who stayed the full ninety are not counted as the same thing.

A name on a list is a weak signal

Most systems record attendance as a yes or a no, which throws away almost everything useful. Somebody who joined, listened to the first question and left has told you the session was not for them. Somebody who stayed to the end and asked a question is your most engaged member this week. Recording both as attended flattens the difference and means your engagement data quietly stops meaning anything. Percentage watched is the number that separates them, and it is available on virtual events without anyone doing extra work.

What gets recorded

Everything available to you.

Captured automatically for virtual events, and manually or by check-in for in-person.

Reporting

Worked example

Same event, three attendance profiles

All three would read as attended on any other platform.

Live coaching call

90 minutes, 34 attendees

Attend

Dana: joined at the start, stayed 88 minutes

98 percent. Full points, streak extended, and she asked a question.

Attend

Marcus: joined 40 minutes in, stayed 20

22 percent. Below the 60 percent threshold, so partial credit only.

Attend

Priya: joined, left after 4 minutes

Something was wrong. Either the session, the timing, or her week.

Reward

Median watched: 82 percent

The session itself is healthy. Priya is the outlier, not the format.

Reward

Priya gets the replay, not a scolding

And if it happens again, a coach hears about it.

Recipes

Three you could build this afternoon.

Read them as when, only if, then. That is the whole grammar of the system.

Scale the reward to the engagement

When

An event ends

Only if

Attendance is recorded

Then

Award points proportional to percentage watched, so staying to the end is worth more than turning up and leaving

Watch the session, not just the member

When

A recurring event runs

Only if

Median percentage watched drops across three sessions

Then

Flag the event, because that is a content problem rather than an attendance problem

Catch the regular who stopped

When

An event ends

Only if

A member who attended the last six did not attend this one

Then

Notify their coach quietly. A broken attendance habit is one of the earliest churn signals there is

Before you build

Three things worth knowing.

Note

Set your threshold deliberately. Sixty percent is a reasonable default, and a threshold of one percent makes the whole measurement pointless.

Note

Drop-off timing is the most useful diagnostic here. If half your attendees leave at minute twenty, look at what happens at minute twenty.

Note

Do not show members their own low attendance percentage. It reads as a scold, and it is the one number that is better kept for coaches.
